It is the intent of the Board of School Trustees (the “Board”) to maintain complete and current personnel files for all district employees.  These files will be maintained in the Human Resources Division, and the  Associate Superintendent - Human Resources shall have responsibility for the supervision and maintenance of personnel records kept on file. 

Only one  file  shall be maintained on each employee  and will be considered confidential  and available only to authorized personnel, the employee, or to legal authorities under proper subpoena. 

Every employee, upon request and in the presence of a member of the Human Resources Division, will have the right (during regular working hours) to inspect his/her personnel file and to respond in writing to any report contained therein; such a response will be entered in and become part of the employee's file. 

Lists of employees' names and addresses and similar directory information will not be given to persons other than trustees, senior managers of the school district, the union/association of which they are a member (as defined in the collective agreement), and other authorized persons, except with the specific permission of the Board or the Superintendent of Schools. 

All provisions of the Freedom of Information and Protection of Privacy Act and Personnel Reporting Act that apply to the school district's personnel records will be observed.
