The preparation of the agenda of each regular meeting of the Board of School Trustees (the “Board”) is the responsibility, under the By-laws of the Board, of the Secretary-Treasurer. In carrying out this duty, the Secretary-Treasurer consults with the Superintendent of Schools and with the Chairperson of the Board about items to be included on the agenda. 

The agenda, as well as supporting materials intended to brief trustees about items included on the agenda, are delivered on Friday afternoons prior to the Board meeting on the following Monday.  The agenda and supporting reports are also made available to the press and the professional associations by 16:30 hours on Friday preceding the regular Board meeting. 

Agendas for special meetings may contain only the specific item(s) for which the meeting was called.  Agendas for special meetings shall be prepared by the Secretary-Treasurer in consultation with the Superintendent of Schools and the Chairperson of the Board or the majority of trustees who called the special meeting.  If possible, press, public, and professional associations will be advised in advance of the agendas of special meetings.
