Because the Board of School Trustees (the “Board”) recognizes the vital importance of relevant information in assisting trustees in their policy-making functions and believes that a free flow of information is necessary if trustees are to perform their function as public representatives, the Board has adopted a procedure to assist senior management in determining what information will be distributed to trustees. 

  • Copies of all significant correspondence addressed to the Chairperson of the Board and copies of all replies to this correspondence shall be distributed to all trustees. 
  • All correspondence, reports, etc. requiring Board or Committee consideration shall be circulated to all trustees with agenda material. 
  • Copies of all significant correspondence arising out of current Board deliberations and copies of all replies to this correspondence shall be circulated to all trustees. 
  • Any other material that may be useful and relevant to trustees in the performance of their representative and policy-making functions shall be distributed to all trustees. 

Senior management should be sensitive to both the workload of trustees and administrative costs and, therefore, not circulate materials that are peripheral to the informational needs of trustees in the performance of their duties.
